Checked at every stage, documented on every shipment
Quality is not a final inspection. A defect that is found at pre-shipment has already been manufactured, packed and paid for, and correcting it costs time that a delivery schedule rarely has. Our approach is to place independent checks at each stage where a problem can still be corrected cheaply: at the supplier, on incoming material, during the production run, before shipment and at loading.
The second habit is documentation. Every inspection produces a written, photographic record that is retained against the order and supplied to you. Every compliance declaration, material certificate and test report is filed alongside the commercial documents. If a question is raised about a consignment six months later, the answer should be retrievable from the file rather than reconstructed from memory.
Vemlora Limited is a trading company. We do not own factories and we do not claim certification we do not hold. What we control is supplier selection, the inspection regime, the acceptance standard and the documentation that accompanies the goods. Those four things are specified in writing before production begins, and they are what the report you receive will be measured against.
- Acceptance criteria agreed in writing before the first unit is made
- Independent inspection at five defined gates, not one
- Photographic evidence at every gate, retained for the life of the order
- Non-conformity stopped at the factory, before freight is booked
Our five quality gates
Each gate has a defined scope, a defined acceptance standard and a defined output. A gate is either passed or it is not; a pass with open points is recorded as an open point.
Supplier qualification
Before the first order we assess the factory on site: machinery and capacity, process capability, quality system, calibration records, incoming material control, traceability, staffing and references. The supplier is scored, and only a passing score admits it to the panel. Re-assessment follows annually, or immediately after a serious non-conformity.
Incoming material verification
Materials and bought-out components are checked on receipt against the specification and the supplier's certificates: alloy and grade, certificate of conformity, mill or material certificate, date code, packaging condition and quantity. A supplier that cannot produce traceable material certificates is not used for critical parts.
In-line process control
Checks are carried out during the run, typically at roughly 20 to 30 per cent and again at 60 to 70 per cent of production, so that a drifting process is corrected while the material is still on the machine. First-article approval, fixture and gauge checks, and functional testing are recorded in the production file.
Pre-shipment inspection
Once production is complete and the goods are packed, a random sample is drawn and inspected to ISO 2859-1 / ANSI Z1.4 at an AQL of 1.0 to 4.0 depending on the defect class: appearance, dimensions, function, labelling, packing and quantity. You receive a written report with photographs, normally within 24 hours.
Shipment and loading supervision
Cartons are counted, marked and sealed at loading, and container or pallet seals are recorded. Loading is supervised at the factory or at our Kwai Chung consolidation point, so the quantity and condition that left Asia is documented rather than assumed.
What the AQL numbers mean in practice
AQL is the acceptance quality limit under ISO 2859-1 / ANSI Z1.4: the worst tolerable process average when a continuing series of lots is submitted for acceptance. 1.0 is used for critical defects - safety, function, dimensions that make the part unusable. 2.5 is used for major defects that would cause a customer complaint or a return. 4.0 is used for minor cosmetic defects that do not affect function. The sample size is derived from the lot size at inspection level II unless you specify a different level.
Inspection standards by inspection type
The sampling standard and AQL for each type of check, together with the reporting time you should expect.
| Inspection type | When performed | Sampling standard | Typical AQL | Report turnaround |
|---|---|---|---|---|
| Supplier qualification audit | Before the first order and annually thereafter | Full-site assessment - no sampling | Pass / fail against the supplier checklist (score of 80 required) | 3 - 5 business days |
| Incoming material verification | On receipt of materials and bought-out components | 100 % document check; sampling to ISO 2859-1 level II | AQL 1.0 on critical characteristics, 2.5 on the remainder | Same day |
| In-line / during-production check | At approximately 20 - 30 % and 60 - 70 % of the run | Random sample from the line, level II | AQL 2.5 | 24 hours |
| Pre-shipment inspection (PSI) | When production is complete and the goods are packed | ISO 2859-1 / ANSI Z1.4, single sampling, level II (level I or III by agreement) | AQL 1.0 critical, 2.5 major, 4.0 minor | Within 24 hours of the inspection |
| Container loading supervision | At loading, at the factory or at Kwai Chung | 100 % carton count, label and seal verification | Not applicable - count and condition check | Same day |
| First-article / golden sample validation | Before mass production is released | Full dimensional and functional check against drawing | All characteristics within drawing tolerance | 2 - 4 business days |
Documentation supplied with shipments
The document pack is prepared with the goods, checked against your destination requirements and filed against the shipment. Copies are supplied by email with the shipping advice, originals by courier where a bank or customs authority requires them.
Commercial invoice
Issued by Vemlora Limited in USD, EUR or CNY with Incoterm, unit quantities, HS codes and the agreed payment terms. Drafted to match the letter of credit wording where one is used, and checked against the packing list before issue.
Packing list
Carton-level detail: quantity per carton, net and gross weight, dimensions, pallet configuration, shipping marks and the total number of packages. This is the document your warehouse will use to receive the shipment, so it is written to be read rather than merely filed.
Bill of lading or air waybill
Original, telex-release or sea waybill as agreed, issued by the carrier or forwarder with the consignee, notify party and marks exactly as instructed. Freight and container numbers are passed to you as soon as they are available so that you can pre-clear.
Certificate of origin
Issued by the competent authority where the goods qualify, for preferential or non-preferential use. Where a free trade agreement rate depends on origin criteria, we confirm with the factory whether the goods qualify before we promise the document.
RoHS, REACH and CE declarations
Declarations of conformity and SVHC statements issued per product by the manufacturing partner, referencing the applicable directives and, where a test report exists, its report number and issuing laboratory.
Material certificates
Mill certificates for metals, resin and grade certificates for plastics, and plating or heat-treatment records where the specification calls for them. Certificates are matched to the production lot, not supplied as generic samples.
Test and inspection reports
The pre-shipment inspection report with photographs, plus functional, Hi-pot, dimensional or CMM test records where testing was part of the order. Reports are issued per shipment and retained on file.
MSDS where applicable
Safety data sheets for adhesives, lubricants, potting compounds, cleaning agents, inks and cells, issued in the language and format the carrier and destination authority require.
HS code guidance
An indicative HS code for every line on the quotation, with a note of the destination rules that commonly apply. Final classification remains the responsibility of the importer, but we make sure you are not starting from a blank page.
Compliance and product safety
The schemes below are the ones most frequently requested by buyers in the European Union, the United Kingdom and North America. Documentation is issued per product, in the manufacturer's name.
| Scheme | What it covers | How documentation is provided |
|---|---|---|
| RoHS 3 (EU 2015/863) | Restriction of lead, mercury, cadmium, hexavalent chromium, PBB, PBDE and four phthalates in electrical and electronic equipment | Manufacturer's declaration of conformity, plus third-party test report where one exists |
| REACH SVHC | Substances of very high concern present above 0.1 % by weight in an article, screened against the current candidate list | SVHC declaration and material data on request for each product and production lot |
| CE marking | The EU directives and regulations applicable to the product, in particular the Low Voltage Directive 2014/35/EU, the EMC Directive 2014/30/EU and the Radio Equipment Directive 2014/53/EU | EU declaration of conformity naming the manufacturer, the standards applied and the notified body number where one is involved |
| UKCA marking | The equivalent route for the Great Britain market for electrical, electronic and radio equipment | UK declaration of conformity issued by the manufacturing partner, with the designated standards listed |
| FCC | Radio frequency devices and unintentional radiators placed on the United States market under Part 15 | FCC test report from an accredited laboratory and, where required, the supplier's declaration of conformity |
| IEC / EN 62368-1 | Safety of audio/video, information and communication technology equipment, replacing IEC 60950-1 and IEC 60065 - applicable to items such as the GaN power adapters in our range | CB test certificate and full test report from an accredited laboratory, plus national deviations where required |
Who issues compliance documentation
Declarations of conformity, test reports, MSDS and material certificates are issued by the manufacturing partner for the specific product and production lot; a copy is retained against every shipment we make. We check that the declaration names the correct product, references a current standard and matches the goods actually shipped, and we will not present a generic certificate as evidence for a specific consignment.
Vemlora Limited is a trading company. We do not hold product certification or an ISO certificate in our own name, and we do not claim to. Statements about quality systems refer to our suppliers: products are sourced from factories whose management systems are certified, and the certificate, scope and validity are verified with the issuing body before the first order. Our own commitments are the inspection regime, the documentation pack and the warranty described on this page.
When something goes wrong
No inspection regime prevents every problem, and the test of a supplier is what happens after a defect is reported. Our process is defined, time-bound and documented, and it ends with a change to the supplier scorecard rather than an apology.
Claims are acknowledged within two business days of receiving your notification and evidence, whether the goods were inspected by us or arrived with a latent defect.
- Containment first - stop the affected stock moving
- Root cause established with evidence, not opinion
- Corrective action agreed, owned and dated
- Remedy settled as replacement, credit or repair
- Supplier scorecard updated and re-inspection booked
Containment
We quarantine the affected quantity, whether it is still at the factory, in our Kwai Chung warehouse or already in transit, and confirm to you in writing how much is held and where. You receive a containment reference number that stays with the case.
Root-cause investigation
The factory provides production records, material certificates, machine and gauge data and the relevant inspection history. Where needed we re-inspect retained samples. The conclusion distinguishes between a design problem, a process drift, a material substitution and a handling or packing error.
Corrective action plan
A written plan states the immediate fix, the process or tooling change that prevents recurrence, the responsible person at the factory and the completion date. You receive the plan rather than a summary of it, so you can challenge any point you disagree with.
Replacement, credit or repair
The remedy is agreed in writing: replacement units from a reworked or new production run, a credit note against the invoice, repair or rework at your site or ours, or a return and refund. Freight and duty consequences are stated at the same time so that there is no second dispute later.
Supplier scorecard update
The event is recorded against the supplier's quality score. A repeat non-conformity reduces the supplier's rating, triggers a re-audit and, where the response is inadequate, removes the supplier from the panel. Buyers affected by the same process receive a preventive notice.
Request an inspection or a report copy
Use this form to book a pre-shipment inspection, request a supplier audit, or ask for a copy of an inspection report or compliance document already issued against one of your shipments.
Please include the purchase order or invoice number where the request relates to an existing order, and the product, SKU or shipment reference. Inspection bookings are normally confirmed within 48 hours, subject to factory readiness and line availability.
